Clean file and TM help needed

I do not use Trados and did a proofreading job in Word. The PM came back to me and asked me to send her the clean file and TM.

If I already used track changes in the document I received from her, what do I need to do and how?

In order for site users to be able to help you, we would need to know if you do have a CAT tool. It sounds like you otherwise work in Word.

One thing you could do is align (if you have software for this) your source text with your Word document in which you accept all changes. If you don't have software to do this, then the process is more complicated, but it is not unfeasible.

Thanks for replying so quickly.

No, I don't work with any CAT tools or any other related software to do this.

The PM originally wanted to assign the translation job to me, but that I needed to have Trados. I advised her that I did not use any CAT tools and she then asked me to handle the proofreading - which is why I was surprised when she asked me to send the clean file and TM when my only instructions were to use Track Changes in Word.

You made an agreement to take on the job as agreed i.e. using 'Mark Changes', that's it. They might have simply made a mistake. If not, refer back to the original agreement and don't budge from that position one little bit.

But before going any further, did you reply to the request to explain that you did not use a CAT tool and that it was not required when the contract was given to you? Sometimes, agencies use CAT tools for some translations and not for others. Maybe your PM is used to asking for a TM and didn't remember that there was none in this case. Checking with your client first can save you hours of work.

What size is your document? Let me know. I am leaving soon for an appointment and as long as the document is not too long or if it has a simple structure, I may have enough time to align your documents for you.

The PM may have forgotten that you had no CAT tools at all, but not everything is lost. It depends on how you have been implementing your amendments.

If you have done your revision using revision marks, in Word, but in the bilingual file containing both languages (original marked as hidden and the translation), the procedure for updating their TM is easy. They can do it easily, not you.
The agency simply need to approve/reject your revision marks, as appropriate, and once the revision marks are cleared, they can import the resulting final version into their TM.
Note that in this case, you must have respected all the tags structure, not altering or deleting them inadvertently. This is rather easy to do, setting Word to show the hidden text. Source text and tags are hidden but they can be made visible, which is advisable for editing the file manually, without the proper CAT software.


If you have been working, instead, on a clean Word document (without Trados tags and without source text) your work has been done effectively out of the CAT workflow, and to update their TM they would need either to align source and target or to implement all your changes in a bilingual file, then proceed as above.

Your PM has obviously forgotten that you advised her earlier that you do not use any CAT tools. You are probably not the only translator that she contacted today...

In view of the fact that she asked you to handle the proofreading after the translation job offer (which she could not assign to you since she requirec CAT tools for the translation job), you should just remind her that
