Source text - English General Remarks for Making Instruction Manuals
1. Instruction manuals shall be prepared in accordance with this "General Procedure of Making Instruction Manuals" and Specific Procedure of Making Instruction Manuals as separate issue particularly for respective project.
2. The Seller shall submit the instruction manual by the specified date after checking the whole manual. Instruction manuals which are inadequate, having missing articles might be rejected by ABC Ltd. (hereinafter referred to as ABC).
3. In case where accidents or troubles occur due to imperfection of the instruction manual, the Seller may be charged with product liability even if it is out of warranty. Therefore, extreme caution shall be taken in making instruction manuals.
4. Languages and measurement units will be determined in the purchase specifications. When a non-native speaker translates a manual, it shall be reviewed by a native prior to submittal to ABC.
Drawing Procedures of Instruction Manuals of Purchased Items
1. Scope
This specification covers basic requirements for making instruction manuals. In case where the Seller is unable to comply with this specification, the Seller shall advise the purchaser by document in advance to obtain the purchaser's acknowledgement.
Since the instruction manual is a part of the supplied product, attention shall be paid to the deadline.
2. Basic Concept of Instruction Manual
An instruction manual is a part of a product. It shall provide necessary information to owners, users, operators, or maintenance personnel for their safety and correct work including use of the product, installation, operation and maintenance. The manual also serves to ensure quality and function of the product. For these purposes, make manuals in compliance with the following:
(1) The manual shall clearly indicate the product's dangers and disadvantages as well as provide instruction for its correct use and description of its function. Regarding products which require extraordinary caution in usage, the danger should have been eliminated during the design stage. Disadvantages of the product shall not be covered by the manual.
(2) The description of the product shall be specific and clear so that direct operators and maintenance personnel can easily understand it.
(3) After the final customer's scope of maintenance is clarified, replacement standards including life of the whole product, maintenance frequency and life of necessary components shall be specified so that the final customer can appropriately implement the maintenance work.
(4) The user may require parts or spare parts for maintenance and inspection of the product. The contacts shall be clearly stated so that the user can order the parts according to the manual.
When the product's installation, inspection, and maintenance are restricted to a certain contractor, the contractor's scope and the contact procedure shall be specified.
(1) Use many visual materials including illustrations and photographs so that the user can get better cross-reference with the actual product. When illustrations and photographs are different fro the actual product in part or in whole, that point shall be clearly described in the manual.
(2 Regarding equipment and apparatus used in a system, instruction manuals of other companies shall be enclosed if necessary.
(3) The instruction manual shall be easy to read and to handle.
