Which invoicing software would you consider a reliable, free and time-saving application for a free-lance translator as opposed to the Proz invoicing tool, since the Proz invoicing tool requires instant internet access all the time?

Thanks
Kristian

Word / Excel? Apr 15, 2010

With a few templates and automated letters you can use Word and Excel I suppose, unless you send out dozens of invoices a month....

Let me clarify Apr 15, 2010

Well that's the point exactly. Apart from big jobs, I do send out around 20 invoices and I do so on a monthly basis, for really small jobs and the options I have is either:

1. to sit down each month on the 30th and scroll a month worth of e-mails and after 8 hours of work send out the invoices.

2. after each job prepare a invoice draft in a folder on a Word file template and keep the invoices stored and then send them out on the 30th manually (which is easier than optio

3. get a software where I type in the rates and wordcount and use this to make a draft of the invoices automatically and at the end of the month press a button to send out the invoices by the software to the designated e-mail addresses. ( well I am not sure if a software would have such a feature).

I just need to have a look around where to find such a thing

Excel + Proz Invoicing Tool Apr 15, 2010

Well, I wanted to help but I have not such a deal to add really... I tell you my method: I keep an Excel File and then pass everything to the Proz Invoicing Tool. I think it's very useful, even if you need to be on line... anyway, nowadays you need to be on line almost 24/7 to work as a freelance translator!! Have a nice day.

I would never keep my bills on a server that is not mine...

Have you try with Practicount ( www.practiline.com ), for example? Or TO3000 ( http://www.to3000.com/ )

You don't need to put your private documents in a "cloud" that you don't own.

Regards

Fernando

I know I couldn't live without it now, but its way of doing things repels some.
Search the forums ("TO3000") and the AIT website for more details.

It "forces" you to get organised: record jobs/quotes, track deadlines/payments and at the end of the month, invoice everybody painlessly. Any information is entered once only.
Requires a bit of work at the beginning to enter customer details and create custom invoice/quote/report/whatever templates.

If you issue 20 invoices a month, it might be worth its while to get some form of management tool like this. I used to maintain basic Excel sheets, but they weren't as failsafe as TO3000.

Just bought TO3000. It's cool. I am still going through the headache of putting in my client data. Though, I can easily see that I am going to sleep peacefully by the next week. I tried the templates, freewares, general invoicing tools. Practi Count is a rugged counting machine with excellent invoice templates, but all it does is count and put it in the invoice templates. TO3000 lets you have a look at your business elephant with a multiple perspective. The service is good. Nothing to beat this one. It is so designed that once you try organizing your folders with its help, you are forced to keep count of the thing that really matters - Money. Good investment.

You can create your own templates or alter the existing ones by opening them i.e. in MS Word for any documents (invoices, quotes, POs, etc) within TO3000.

A guide to this can be downloaded here:
http://www.to3000.com/Documentation/RTFTemplatesGuide.pdf

About fixed templates Apr 29, 2010

I think Mohamed and Stanislav used fixed in the sense of set, non-changeable.
Yuriy used fixed as in corrected, upgraded.
To sum up, from licensed versions 7 upwards, templates can be customised at will. I don't know about previous versions.
I mentioned it in my post above.

incoming invoices in TO3000 Aug 23, 2010

Hi,

I have a quick question regarding TO3000.

Is it only possible to create and keep track of outgoing invoices, or is it also possible to enter incoming invoices (for bills regarding a freelance translator's business expenses, etc) in this tool, and then create balance sheets, etc?

Thanks for your input!

Yes, there is an item "Business expenses". It is rather rudimentary, but it allows you to balance your business.
